Industrial Exhibition

The Vienna Conference on Instrumentation (VCI) 2025 will be held in the beautiful city Vienna. The conference will take place from 17th February till 21st February 2025 at the Technische Universität Wien.

An associated Industrial Exhibition will be organized on the first three days of the Conference February 17th – 19th, 2025, to which we would like to invite your company to participate.

Vienna Conference on Instrumentation is the new name since 2001 of the series of former Vienna Wire Chamber Conferences founded by the Institute of High Energy Physics of the Austrian Academy of Sciences. The first Vienna Conference took place in 1978. The present Conference will be the 17th Conference of this series.

The Venue

The Conference will take place in the Technische Universität Wien. This place is near the Vienna Opera, right in the centre of the city. Approximately 300 participants from around 30 countries usually attend the Conference. Several participants are decision-making members of large research centres in the field of nuclear and particle physics or other disciplines mentioned above. Many young researchers will be encouraged to attend the Conference.

Exhibition of your Products

The exhibition time is on the first three days of the Conference (17 – 19 February 2025). The location of the exhibition is close to the exits of the main Conference Hall. During coffee breaks the coffee will be served in this area. Sufficient time for visiting the exhibition without talks is foreseen.

Flyer in delegates bag

As a complement to the Industrial Exhibition, the Conference Organisers offer alternative publicity opportunities. These include the possibility of placing flyers (or other promotional items, such as pens) in delegates’ bags, as well as generally sponsoring the Conference; sponsors will be listed on the conference website.

Sponsorship of a social event

We are inviting you to be sponsor of one of our social events. Sponsoring companies are named as official sponsor of this event.

For booking an exhibition area, please complete the booking form and return it by e-mail to the organizers. Upon receipt of your definite order the conference office will send an invoice to your address. Full advance payment is required.

Any changes and cancellations must be communicated in writing to the chair of the organizing committee M. Krammer. Upon receipt of a written cancellation notice before January 19, 2025, 80% of the total fee will be refunded. No refund can be made for cancellation after this date. Any refunds will be made after the Conference.

General Terms and Conditions for industrial exhibition during the Vienna Conference on Instrumentation

The Vienna Conference on Instrumentation (VCI) is organized by the Institute of High Energy Physics (HEPHY) of the Austrian Academy of Sciences (OeAW).

  • Booking and invoice for industrial exhibition

The presentation of products on the conference website regarding industrial exhibition does not constitute a legally binding offer. By submitting the booking form, sponsors submit a binding offer to OeAW to conclude a sponsoring contract for the products (marketing services) selected in the booking form.

By submitting the booking form, the sponsor accepts these terms and conditions (GTC). Should any provision of the GTC become invalid, illegal or unenforceable, it shall not affect the validity of the remaining provisions of the GTC.

The information and contact details provided during booking must be correct and up-to-date; changes must be communicated to OeAW immediately (preferably by e-mail to vci@oeaw.ac.at).

The sponsoring contract is only concluded when the sponsor receives a confirmation including an invoice by e-mail.

  • Payment

The fees must be paid upon receipt of the invoice within the payment period specified therein. Industrial exhibition is only possible after receipt of payment, full advance payment is required.

  • Cancellation

Any changes and cancellations by the sponsor shall be communicated in writing to OeAW. Upon receipt of a written cancellation notice before January 19, 2025, 80% of the total fee will be refunded. No refund can be made for cancellation after this date. In the event of cancellation after January 19, 2025, a cancellation fee of 100% of the invoice amount will be charged.

In the event the conference has to be cancelled by OeAW, OeAW shall not be held liable for any direct or indirect damage, claims or costs resulting from a cancellation of the conference occurring to the sponsor. In the event of a cancellation, OeAW shall refund the fee received less any financial advantages gained from already performed marketing services. If it is unavoidable to cancel a conference that has already begun, the fees can only be refunded on a pro rata basis.

  • Use of name and logo

The sponsor grants OeAW a royalty-free right to use its logos and brands to provide the product as described in in the confirmation e-mail of the booking.

OeAW is entitled to conclude sponsoring agreements with other sponsors. The sponsor cannot derive claims of any kind from these agreements.

  • Good conduct

The sponsor receives no right to influence OeAW or its activities. The sponsor and OeAW agree that the goals of the sponsor shall not affect or interfere with the scientific activity of the conference.

  • Warranty and Liability

OEAW will not assume warranty for any advertising effectiveness.

OEAW assumes no liability for program changes. Refunds, compensation for expenses incurred and other claims against OeAW shall not be derived from this.

In principle, OEAW shall only be liable for damages caused by intent and gross negligence, with the exception of damages to persons. The existence of slight or gross negligence must be proven by the sponsor. Compensation for consequential damage and financial loss is excluded in its entirety. No liability is assumed for any information or documents provided.

OEAW generally accepts no liability for any additional costs incurred by the sponsor.

  • Miscellaneous

Austrian law shall apply. The place of jurisdiction is Vienna.
